Staff Accountant
Primary Duties and Responsibilities
Accounts Receivable
- Processes Accounts Receivable (checks, credit cards, and EFT’s)
- Creates and emails invoices, as requested
- Responsible for payment-related questions, including membership, conference registrations, advertising, publications, etc.
- Pursues collection of outstanding payments
- Processes unique invoices (e.g. processing invoices related to the U.S. Department of Veteran Affairs)
Accounts Payable
- Indexes and reviews invoices, travel expense reports, and corporate credit card statements in AP automation software (PN3); ensures accuracy of coding and completeness of backup documentation; cuts and mails checks; transmits ACH files; ensures compliance with internal controls
- Administers and trains staff on PN3
- Performs check reconciliation and runs month-end closing reports; contacts vendors with outstanding checks
- Maintains vendor files; obtains W-9 and ACH information from vendors; verifies federal grant vendors in System for Award Management (SAM)
- Ensures completeness and accuracy of information related to Form 1099-MISC filing; files tax forms
Preparation of Financial Statements
- Prepares monthly general ledger entries related to merchant fee allocations, office equipment usage allocations, and CCNE cash receipts
- Distributes monthly financial statements
- Provides reports for annual audit, including revenue recognition
General
- Maintains basic to intermediate knowledge of Euclid ClearVantage and MemberSuite (association management software-AMS), NetSuite, and Microsoft Access, and is capable of extracting and presenting data in various forms
- Maintains accuracy and completeness of accounting procedures manual; ensures compliance with internal controls
- Updates job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations
